Kickoff meeting

A kickoff meeting is the first working meeting of a project after the agreement is signed, where both sides agree how the work will be run: who decides what, how often they'll meet, what counts as a milestone, and how problems get escalated.

How it works in a university-industry collaboration

PMI lists project kickoffs among the standard project meetings (PMBOK Guide, eighth edition). In a university-industry collaboration, the kickoff matters more than usual, because the people who negotiated the agreement often aren't the people who run the project. It's also the easiest moment to settle the hard questions, while every example is still hypothetical. Our plain guide sets out the six decisions to make there.

A working agenda:

  1. Roles on both sides: the PI, the project managers, and the sponsor.
  2. The scope and the first milestones, each with an owner and a date.
  3. Decision rights, as a one-page RACI.
  4. The meeting cadence.
  5. How publication and IP review will run.
  6. The escalation protocol.

Translation Box: kickoff

On the academic side: often an informal first visit or call to agree the first experiments.

On the industry side: a formal meeting with an agenda, a decision log, and the sponsor present.

What Helikon does with it

On the Helikon platform, create the project before the kickoff, invite the partner's team, set the first milestones with owners and dates, and send the meeting invite from the project.
